HopeSide Counseling is seeking a skilled and motivated Virtual Office Assistant to join our dynamic team! As a key member of our virtual office, you’ll provide essential administrative support, manage communications, and ensure seamless daily operations. Your exceptional organizational skills, proactive approach, and attention to detail will enable our team to focus on delivering outstanding results.
With a strong emphasis on teamwork and collaboration, you’ll work closely with our team to maintain a professional and friendly virtual office environment. Responsibilities:
- Handle calendar management and scheduling for team members, including setting appointments and reminders with precision
- Perform data entry tasks accurately using Google Workspace and Microsoft Office
- Provide exceptional customer service via phone, email, and chat channels, responding promptly to client inquiries and concerns
- Assist with clerical duties, such as filing, proofreading, and organizing digital files, to ensure easy access and security
- Support office management tasks, including supply ordering, document preparation, and maintaining organized workflows
- Manage and maintain accurate records, ensuring up-to-date and confidential information
- Collaborate with team members to ensure seamless communication and workflow
- Identify areas for process improvement and suggest solutions to enhance efficiency
- Assist with preparing reports and presentations as needed
Requirements:
- Proven experience in office management or administrative support roles with strong organizational skills
- Demonstrated proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools like QuickBooks
- Excellent typing speed combined with meticulous proofreading abilities to ensure error-free documents
- Prior clerical experience in customer service or medical/dental reception is highly desirable
- Strong phone etiquette skills with experience managing multi-line phone systems and providing customer support
- Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
- Ability to work independently with minimal supervision and maintain a high level of professionalism
- Strong communication and interpersonal skills to build positive relationships with team members and clients
- Ability to adapt to changing priorities and workflows.
